Instructions for Participants – NIER Conference

To ensure a seamless and enriching experience at the NIER Conference, all participants are requested to carefully follow the guidelines outlined below.

1. Registration

  • Early Registration:
    All participants are encouraged to complete their registration as early as possible to secure their place at the conference.
  • Confirmation:
    Once your registration is successfully completed, a confirmation email will be sent to you. Please retain this email for future reference

2. Abstract and Full Paper Submission (For Presenters)

  • Abstract Submission:
    Submit your abstract through the official conference portal by the announced deadline. Late submissions may not be accepted.
  • Full Paper Submission:
    Upon abstract acceptance, authors must submit their full paper within the given deadline mentioned in the acceptance email.

3. Presentation Guidelines (For Presenters)

Oral Presentations (Onsite & Online)

  • Duration: 10 minutes for presentation followed by 2 minutes for Q&A.
  • Slide Submission: Presentation slides must be submitted at least 24 hours before the session.
  • Technical Check: Presenters should be available 30 minutes before their session for a technical check.
  • Software: Use MS PowerPoint (Windows OS preferred).
  • Virtual Platform: Zoom (for online participants). Ensure a stable internet connection and join early

Poster Presentations (Onsite Only)

  • Poster Size: 36 inches (width) x 48 inches (height).
  • Setup: Posters must be mounted before the event begins. Presenters should remain available during poster viewing sessions.

4. Conference Day Guidelines

  • Arrival:
    Onsite participants should arrive at the venue at least 30 minutes before their scheduled session.
  • Dress Code:
    Professional or business formal attire is recommended.
  • Assistance:
    Event staff and volunteers will be available to assist with logistics and technical

5. Instructions for Listeners

  • Onsite Listeners:
    May attend all sessions, participate in discussions, and receive a Certificate of Attendance.
  • Virtual Listeners:
    Will have access to all online sessions via Zoom and may engage in Q&A and networking sessions.
  • Engagement:
    Listeners are encouraged to ask relevant questions during Q&A sessions.

6. Networking Opportunities

  • In-Person Networking:
    Utilize tea breaks and lunch hours to connect with peers and presenters.
  • Virtual Networking:
    Join breakout rooms and chat forums provided via Zoom for collaborative discussions

7. Technical Support

  • Onsite:
    Technical teams and volunteers will be present throughout the conference venue.
  • Online:
    Zoom support personnel will be available during all virtual sessions.

8. Post-Conference Activities

  • Feedback:
    A post-conference feedback form will be shared. Your feedback is vital for continuous improvement.
  • Certificates:
    • Presenters: Will receive a Certificate of Presentation.
    • Listeners: Will receive a Certificate of Attendance.
  • Proceedings:
    Conference proceedings will be shared with all eligible participants after the event.
